Privacy policy
What we collect when you book, why, and who sees it. Written with Japan's Act on the Protection of Personal Information (APPI) in mind.
Last updated 1 November 2026
1. Who is responsible
Golf Time Japan, run by Kentaro Kusumoto as a sole proprietor under the trade name Golf Time Japan. Contact: hello@golftimejapan.com.
2. What we collect
- Your email address, to sign you in and send your booking emails.
- The lead golfer's name, and the name in katakana if you give it.
- Your phone or WhatsApp number and country, if you give them.
- Booking details: course, date, tee time, players, rental clubs, how you are travelling, and any notes you write for the course.
- Payment records: amounts, refunds and fees. Your card details go straight to Stripe. We never see or store the full card number.
3. Why we use it
- To make your booking with the course and keep you updated by email.
- To take the deposit, give refunds, and charge a no-show fee when the cancellation rules call for it.
- To answer your questions, and to prevent fraud and misuse.
- To keep the business records Japanese law requires.
We don't sell your data and we don't send you marketing.
4. Sharing with the golf course
When you book, we send your booking to the course you chose: the lead golfer's name (and katakana), your email, phone, number of players, rental clubs, travel plans and notes. The course needs these to provide your round. You agree to this sharing when you tick the box on the booking page. We don't share your data with anyone else, except where the law requires it.
5. Service providers outside Japan
We use these companies to run the site. They handle your data only to provide their service to us.
| Company | What for | Based in |
|---|---|---|
| Stripe | card payments and refunds | USA |
| Resend | sending our emails | USA |
| Supabase | our database | USA |
| Netlify | hosting the website | USA |
Their servers may be in the United States or other countries, where privacy laws differ from Japan's. Each of them publishes its own security and privacy measures. By booking, you agree to your data being handled by them in this way.
6. How long we keep it
We keep booking and payment records for 7 years, as Japanese tax law requires. Other account details are deleted when you ask, unless we still need them for an open booking or those records. Sign-in links stop working after 30 minutes.
7. Keeping it safe
The site uses an encrypted connection (HTTPS). Access to the data is limited to us and to the course for its own bookings. If a leak ever puts your data at risk, we will tell you and the authorities as the law requires.
8. Your rights
You can ask us to show you the data we hold about you, correct it, stop using it, or delete it. Email hello@golftimejapan.com from the address you booked with, and we reply without delay.
9. Cookies
We only use the cookies that keep you signed in. No tracking, analytics or advertising cookies.
10. Changes
If we change this policy we post the new version here with a new date. See also our terms of use.
